Sospana Sonke ("we", "us") operates an online platform that helps job seekers discover vacancies on employers' official careers pages, assess their fit, generate tailored CVs and cover letters, and prepare or submit job applications. This policy explains what personal information we process, why, how we protect it, who we share it with, and your rights under the Protection of Personal Information Act, 2013 (POPIA).
Identity and contact details (name, surname, email, mobile number); profile information (city, country, work authorisation, current and desired occupations, industries, salary expectations, location and remote preferences, willingness to relocate); education, certifications and work history; skills, languages, driver's licence, professional memberships and links (portfolio, LinkedIn, GitHub); the CV documents you upload and the tailored CVs and cover letters we generate; your application records and their status; your account settings and preferences; subscription and payment status (we do not store full card details — those are handled by our payment provider); and technical/usage data (log-in times, device and usage logs) used for security and to operate the service.
To create and manage your account; build and maintain your candidate profile; match your profile against vacancies; generate tailored CVs, cover letters and reports; prepare and — only with your authorisation — submit job applications; send you notifications; manage your R100/month subscription; provide support; keep the platform secure; and comply with the law. We do not sell your personal information.
We rely on your consent (given at sign-up and, separately, for automated/assisted applications), the performance of our contract with you, our legitimate interests (security, fraud prevention, service improvement) balanced against your rights, and compliance with legal obligations.
We share information only as needed to run the service, with vendors acting as our operators under written contracts (cloud hosting, AI provider(s), email provider, payment provider). When you authorise an application, the tailored CV, cover letter and the answers you approve are submitted to the relevant employer or its recruitment system — that is the purpose of the service, and it happens only with your authorisation. We may disclose information where required by law.
Some operators may process information outside South Africa. Where this happens we ensure a lawful basis under POPIA section 72 — typically your consent and/or a contract requiring protections comparable to POPIA.
We keep your information only as long as necessary — while your account is active and for a defined period afterwards for legal, audit and dispute purposes — after which it is deleted or anonymised. We do not keep your uploaded documents indefinitely.
Encryption in transit and at rest, strong password hashing, least-privilege access controls, malware scanning of uploads, audit logging and regular backups. No system is perfectly secure, but we apply reasonable and appropriate measures as POPIA requires.
We use AI to suggest which vacancies fit you and to draft documents, but a human — you — remains the decision-maker. Nothing is submitted to an employer without your authorisation, and the AI never invents facts about you: tailored documents are built only from information you have confirmed. AI matching is advisory and can be wrong.
The platform is for job seekers aged 18 and over. We do not knowingly process the information of children. If you believe a child has registered, contact us and we will delete the account.
Under POPIA you may access, correct or update your information; object to processing or withdraw consent; request deletion; and request a copy/export of your data. Exercise these rights via the contact below or your account's Data & Privacy settings. You may also complain to the Information Regulator (South Africa): inforegulator.org.za.
